Who can have an account
The We Love With Care Family Portal is only for parents, legal guardians, and people with formal authority to act for an NDIS participant we support.
By requesting access you declare that you are the parent or legal guardian of the person named in your request, or that you hold lawful authority (such as a guardianship order or nominee arrangement) to receive information about them.
We Love With Care will verify your identity and your relationship to the participant before granting access. We may ask for documentation and may decline or withdraw access at any time.
Your responsibility for your account
You are responsible for everything that happens in your account.
You must keep your password private and must not share it, write it where others can find it, or let anyone else sign in as you. If you let someone else use your account, or fail to keep it secure, you accept responsibility for what they see and do — including any access to information about the participant.
You must tell us immediately on (02) 9782 2229 if you think someone else has accessed your account, if you lose a device you have signed in on, or if your circumstances change so that you should no longer have access.
Do not sign in on shared or public devices. If you must, sign out afterwards.
What you will see, and how you must treat it
The portal contains personal and sensitive information about a person with disability — including photographs, notes about their day, health-related information, and documents such as care plans.
This information is provided to you for the care and wellbeing of that person only.
You must not copy, screenshot, forward, post to social media, or otherwise share any content from the portal with anyone who is not entitled to it. This includes photographs that show other participants.
Community posts may show other participants and their families. Anything you see about another family is confidential and must not be shared or discussed outside the portal.
Comments and behaviour
Comments appear immediately and are visible to others who can see that post. Our staff monitor comments and may remove anything at any time.
Be kind. Do not post anything abusive, discriminatory, defamatory, or that identifies another participant without their family's consent.
We may suspend or remove access for anyone who behaves in a way that puts participants, families or staff at risk.
Privacy
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and in line with our obligations as a registered NDIS provider.
We collect your name, email address, phone number and relationship to the participant so we can verify who you are and give you the right access. We keep a record of the terms you agreed to, when, and from what IP address.
You can ask to see the information we hold about you, ask us to correct it, or make a complaint, by contacting us on (02) 9782 2229 or info@welovewithcare.com.au.
Consent for photographs
Photographs of a participant are only shared in the portal where consent has been recorded. You can withdraw or change that consent at any time by contacting us.
Consent for a participant to appear in community posts (visible to all families) is separate from consent for private posts, and is recorded separately.
Availability and accuracy
The portal is a way of sharing updates with you. It is not a medical record, and it is not a way to raise urgent matters.
If something is urgent, or concerns the immediate safety or health of a participant, call us on (02) 9782 2229 or dial 000. Do not rely on a portal comment.
We try to keep the portal available and accurate, but we do not guarantee it will always be available or free of errors.
Ending access
You can ask us to close your account at any time.
We may suspend or end your access if you breach these terms, if your authority to act for the participant ends, if the participant stops receiving our services, or if we reasonably believe access is no longer appropriate.
These terms may change. If they change materially we will ask you to agree again.
